Contact forwarders with shipping and packing details sent from export dept. on BRM system.
Calculate and select best and most competitive offers to be added on BRM system with some conditions.
Reserve booking confirmation after receiving IDIS and original invoices from export dept.
Provide speed responses to all your demands, inquiries & requests.
Maintain daily follow up with all outgoing parties for the air, ocean and courier shipment
Maintain daily follow up with all the warehouse communication documents and parties involved.
Handle shipping process that begins after receiving IDIS invoices from export dept. to avoid delay as well as shipping cancellation.
Handle the issued inspection and legal certificates for exporting to some zones that required inspections ( KSA – Kuwait – Nigeria – Kenya - Congo … )
Ensure maintaining integrity and timely preparation and authorization of export documentation such as AWB, B/L, COO, EUR1, LAS COO, COC, SONCAP … as per destination requirements.
Manage sea shipments loading as well as shipment fumigation with warehouse to avoid any customs problems.
Communicate pre-alerts to customers and keep track of all shipments (Arrival date – estimated departure date – shipping line – AWB or B/L …..) until they are delivered according to plan.
Open direct contact channels with the customers to coordinate shipping process and keep him updated with shipments status as professional assistance to help our customers.
Follow up shipment with forwarders agents until shipments reach customers and help them in solving any problem they may face to release their shipments.
Maintain monthly forwarders evaluation to filtrate best services and rates.
Filing shipment data and documents hard and soft copy.
Review and process forwarders and inspection of companies payments
Follow up forwarders payments with the financial Dept.
Issuance of semiannual and annual outbound reports
Monthly/weekly report delivered to our colleagues with the status of our shipments during this period (Index Report).
Arrange all outgoing shipments for the other departments (Warranty).
Arrange all MCV free zone shipments.
Arrange shipments insurance.
Arrange warranty and re-export shipments for other departments.
Arrange required inspection process for some shipments upon customers request for some regions.
Update forwarder agents list with new agents with competitive rates and services.
Perform additional duties as directed by line manager.
